How to Use iCloud for Apple Device Backups
iCloud automatically backs up your Apple devices, keeping photos, contacts, settings, and app data safe and accessible across all your devices.
Overview
Every Apple ID gets 5GB of free iCloud storage. Most users need the 50GB (£0.99/month) or 200GB (£2.99/month) plan for full backups.
Step 1: iPhone/iPad Backup
Set up automatic cloud backups for your iOS devices.
Enable iCloud Backup
- Settings → [Your Name] → iCloud → iCloud Backup
- Toggle ON 'Back Up This iPhone'
- Tap 'Back Up Now' for an immediate backup
- Backups happen automatically when connected to Wi-Fi, charging, and locked
- Check last backup date and size on this screen
Choose What to Back Up
- Settings → [Your Name] → iCloud → Manage Account Storage
- Tap 'Backups' → your device name
- Toggle off apps you don't need backed up
- Large apps like games can be re-downloaded rather than backed up
- Photos and videos use the most space — consider iCloud Photos separately
Enable iCloud Photos separately from backups. This syncs your photo library to the cloud and lets you optimise iPhone storage.
Step 2: Mac iCloud Sync
Sync Mac data through iCloud.
Configure iCloud on Mac
- System Settings → Apple ID → iCloud
- Enable Desktop & Documents Folders sync
- Enable iCloud Photos for photo library sync
- Enable iCloud Drive for file access across devices
- Enable Keychain for password sync
- Enable Find My Mac for device tracking
Manage iCloud Storage
- System Settings → Apple ID → iCloud → Manage
- See what's using space: Photos, Backups, Drive, Mail
- Delete old device backups you no longer need
- Empty Recently Deleted in Photos (counts toward storage)
- Consider upgrading plan if consistently near capacity
Step 3: Restoring from iCloud
Recover your data when you need it.
Restore iPhone/iPad
- During setup of new/erased device, choose 'Restore from iCloud Backup'
- Sign in with your Apple ID
- Select the most recent backup
- Device will download and restore apps, settings, and data
- Stay connected to Wi-Fi — restore can take 30-60+ minutes
- Some apps may need to re-download from the App Store
Optimise iCloud Storage
- Enable Optimise Storage on Mac to keep only recent files locally
- Use iCloud Photos with Optimise Storage to free up device space
- Review and delete old device backups from iCloud settings
- Remove large apps from backup that can be re-downloaded
- Use the Manage Storage feature to identify what uses the most space
- Consider iCloud+ Family Sharing to share 200GB or 2TB across family members
Security and Privacy
- Enable Advanced Data Protection for end-to-end encryption of most iCloud data
- Use a strong, unique Apple ID password and enable two-factor authentication
- Review which apps have access to iCloud Drive and disable unnecessary ones
- Be aware that iCloud Keychain syncs passwords across all your Apple devices
- Set up an Account Recovery Contact in case you lose access to your Apple ID
- Review iCloud Private Relay settings for web browsing privacy (iCloud+ only)
