How to Sync Files Across Devices with OneDrive

OneDrive keeps your files in sync across all your devices. Edit a document on your laptop and it's instantly available on your phone.

Overview

OneDrive is built into Windows and available on Mac, iOS, and Android. You get 5GB free with a Microsoft account, or 1TB with Microsoft 365.

Step 1: Set Up OneDrive

Get OneDrive running on all your devices.

Windows Setup

  • OneDrive is pre-installed on Windows 10/11
  • Click the cloud icon in the system tray
  • Sign in with your Microsoft account
  • Choose folders to sync or use default settings
  • Files appear in File Explorer under OneDrive

Mobile Setup

  • Download OneDrive from App Store or Google Play
  • Sign in with the same Microsoft account
  • Enable Camera Upload to auto-backup photos
  • Choose 'Upload using Wi-Fi only' to save mobile data
  • Enable 'Files On-Demand' to save phone storage

Mac Setup

  • Download OneDrive from Mac App Store or microsoft.com
  • Sign in with your Microsoft account
  • Choose OneDrive folder location
  • Select which folders to sync locally
  • OneDrive appears in Finder sidebar

Files On-Demand

  • Right-click OneDrive files → 'Free up space' for cloud-only files
  • Cloud-only files show a cloud icon — they don't use local storage
  • Double-click to download when needed
  • Right-click → 'Always keep on this device' for offline access
  • This lets you have TB of files accessible without filling your drive

Sharing Files

  • Right-click file → Share → OneDrive
  • Set permissions: View only or Edit
  • Add an expiry date for temporary sharing
  • Set a password for sensitive files
  • Copy the link or enter email addresses directly

Common Fixes

  • Check internet connection and OneDrive is signed in
  • Right-click OneDrive tray icon → Settings → check for errors
  • Restart OneDrive: Close and reopen from Start menu
  • Check for file name issues: no special characters, under 400 char path
  • Free up space if OneDrive folder is on a full drive
  • Reset OneDrive if persistent issues: Run wsreset.exe from Command Prompt

  • Use Personal Vault for sensitive documents (requires additional authentication to access)
  • Enable version history: Right-click any file to see and restore previous versions
  • Set up Known Folder Move to auto-sync Desktop, Documents, and Pictures folders
