The process

Four steps, start to paperwork

Order matters here — the data goes before the hardware does, and the evidence follows both.

Step 1

Tell us what you have

A rough list is enough to start. For larger collections, server rooms and decommissions we will arrange a free site survey and quantify it properly before anything moves.

Step 2

We collect

Equipment is collected from your premises by a licensed carrier on a local South West route. One laptop or a full rack — there is no minimum before we will come out.

Step 3

Data is destroyed

Every data-bearing device is erased or physically destroyed. Drives are pulled from servers, laptops and desktops and dealt with individually rather than assumed empty.

Step 4

You get your evidence

Waste transfer documentation and data destruction reporting come back to you, ready to drop straight into your ISO 27001, Cyber Essentials or insurance file.

Two sets of rules apply to the same box

A redundant server is regulated waste and a live data risk at the same time. Skipping either one is where organisations get caught out.

Business electrical waste cannot go in a skip or a domestic tip run. It has to be handled by a registered carrier and evidenced with waste transfer documentation. Duchy Pro Solutions is a higher-tier registered waste carrier, broker and dealer, and is committed to 0% of collected equipment going to landfill.

Data protection at end of life

Personal and business data on a decommissioned device is still your responsibility until it is provably gone. Deleting files or reformatting is not destruction. Certified erasure or physical destruction, backed by a report naming the device, is what actually closes the obligation.

In most cases collection and recycling of IT and computer equipment is free of charge, with no minimum number of devices. If a job falls outside the free service — a large data centre strip-out, for example — you will be told the cost before anything is collected.
Yes. Full data destruction reports can be provided for hard disk drives and media removed from servers, laptops and desktops, alongside your waste transfer documentation. That paperwork is what an auditor, insurer or client will actually ask to see.
Duchy Pro Solutions is committed to 0% of collected equipment being sent to landfill — it is processed for reuse or material recovery. Because both businesses are based in the South West, collection journeys stay short rather than running the length of the country.

No. Organisations, businesses and individuals are all covered. A single old laptop from a home office is a legitimate collection, and the data on it gets treated the same way as a server's.
Business electrical waste falls under the WEEE Regulations, and any data still sitting on those devices falls under UK GDPR. Both expect you to evidence what happened. If you are not sure where you stand, ask — the assessment costs nothing.
