How to Recover Deleted Files from Cloud Trash

Accidentally deleted a file from cloud storage? Most services keep deleted files for 30 days or more, giving you time to recover them.

Overview

Cloud services move deleted files to a trash or recycle bin. They're recoverable until the retention period expires or you empty the trash.

Step 1: Recover from Each Provider

Find and restore deleted files.

1

Google Drive Recovery

  • Open drive.google.com → Trash (left sidebar)
  • Find the deleted file (use search if needed)
  • Right-click → Restore — file returns to original location
  • Trash is emptied automatically after 30 days
  • Admin can recover files for up to 25 days after trash emptied (Workspace)
2

OneDrive Recovery

  • Open onedrive.com → Recycle bin (left sidebar)
  • Select files → click 'Restore'
  • Files return to their original folder
  • Personal: Retained for 30 days
  • Business: Retained for 93 days
  • Second-stage recycle bin available for site admins
3

Dropbox Recovery

  • Open dropbox.com → Deleted files (left sidebar)
  • Select files → click 'Restore'
  • Free accounts: 30 days retention
  • Professional/Business: 180 days retention
  • Dropbox also keeps file versions — restore older versions via version history
4

iCloud Recovery

  • Open icloud.com → iCloud Drive → Recently Deleted
  • Select files → click 'Recover'
  • Files are kept for 30 days after deletion
  • For photos: icloud.com → Photos → Recently Deleted
  • Same 30-day recovery window applies

Step 2: Prevent Accidental Deletion

Protect important files from being lost.

1

Protective Measures

  • Star or favourite important files in cloud storage
  • Use version history to recover overwritten files
  • Set up local sync so cloud files have a local copy
  • Regular backups: Don't rely solely on cloud trash
  • For business: Enable admin recovery and longer retention
  • Consider a third-party backup tool for critical cloud data (e.g., Backupify, Spanning)
3

Advanced Recovery Options

  • Google Workspace Admin: Recover files up to 25 days after a user empties trash
  • OneDrive for Business: Second-stage recycle bin available for site admins (93 days total)
  • SharePoint: Site collection recycle bin provides additional recovery window
  • Contact provider support if the file was deleted beyond the standard retention period
  • Some providers can recover data from backups even after trash is emptied (paid plans)
  • Act quickly — the sooner you attempt recovery, the more likely it is to succeed
4

Preventing Future Data Loss

  • Enable file versioning on all cloud storage — recover overwritten files easily
  • Star or favourite critical files so they stand out and are less likely to be deleted
  • Use sensitivity labels to protect important documents from accidental deletion
  • Set up third-party cloud backup for critical data: Backupify, Spanning, CloudAlly
  • Educate team members on the difference between delete and permanent delete
  • Create a data recovery procedure document so anyone on the team knows the steps
